2Estimates & Booking

Submitting the "Request Estimate" form, calling us, or emailing us is a request for a quote only and does not create a booking. A booking is confirmed only when our team reviews your details, confirms availability, and you accept the quote or confirmation we send.

Estimates are based on the information you provide (pickup and destination, pickup date and time, load weight, and other details). If this information is incomplete or changes, the final price and availability may change.

3Customer Responsibilities

As the customer, you agree to:

• Provide accurate and complete information about the load, including dimensions, weight, height, and any special requirements
• Make sure your equipment, vehicles, and load are safe, roadworthy, properly secured, and legally allowed to travel
• Have a qualified, properly licensed driver operating your vehicle
• Arrive at the agreed pickup location and time, and notify us promptly of any delay
• Follow the reasonable instructions of our escort personnel and all traffic and safety laws during the move

4Permits, Routes & Compliance

We help you stay compliant by offering route guidance and compliance information. However, you (or your carrier) remain solely responsible for obtaining all required permits and for confirming that your load, route, and equipment meet the requirements of every jurisdiction you travel through.

Regulations vary by state and change often. Our guidance is provided for convenience and is not legal advice or a guarantee that a route or load will be approved or accepted by any authority.

5Pricing & Payment

Pricing depends on distance, load size, route complexity, and service requirements, and is provided as a customized quote. Unless your quote states otherwise:

• Additional charges may apply for waiting time, delays not caused by us, route changes, extra escort vehicles, overnight stays, or extended hours
• Payment is due according to the terms in your quote or invoice, using the payment methods we accept
• Late or unpaid invoices may be subject to reasonable late fees and collection costs where allowed by law
• You are responsible for any tolls, fines, or fees related to your load or vehicle

6Cancellations & Changes

Please notify us as early as possible if you need to cancel or reschedule. Because we reserve vehicles and personnel for your job, cancellations or changes made shortly before the scheduled start time, or after our team has already been dispatched, may be subject to a cancellation fee or charges for time and costs already incurred, as described in your quote or confirmation.

We may also reschedule or cancel a job if safety, weather, legal, or operational reasons require it. In that case, we will notify you as soon as reasonably possible.

7Delays & Unforeseen Events

We work to keep every haul on schedule and respond quickly to short-notice and emergency requests. However, we are not responsible for delays or failure to perform caused by events outside our reasonable control, including severe weather, road closures, accidents, traffic, mechanical breakdowns of your equipment, permit or authority delays, law enforcement or inspection stops, strikes, natural disasters, or government actions.

8Real-Time Tracking

Where available, we may offer live updates and tracking support so you can monitor your load. Tracking information is provided as a convenience, may be affected by signal, device, or network limitations, and may not always be exact or uninterrupted. Our collection and use of tracking data is described in our Privacy Policy.

9Insurance & Liability

We maintain insurance coverage as appropriate for our pilot car and escort operations. Our coverage applies to our own operations and does not replace the insurance, cargo coverage, or liability coverage that you or your carrier are required to carry for your vehicle, equipment, and load.

To the fullest extent permitted by law, R&R Pilot Pro, its owners, employees, and contractors will not be liable for indirect, incidental, special, consequential, or punitive damages, including loss of revenue, loss of business, delay costs, or damage to cargo or equipment. Our total liability for any claim related to our services will not exceed the amount you paid us for the specific job giving rise to the claim.

Nothing in these Terms limits liability that cannot be limited under applicable law.

10Indemnification

You agree to defend, indemnify, and hold harmless R&R Pilot Pro and its owners, employees, and contractors from claims, damages, fines, and expenses (including reasonable legal fees) arising from your breach of these Terms, inaccurate load or route information, the condition or operation of your vehicle or load, or your violation of any law or regulation.

You agree to use our website only for lawful purposes. You must not:

• Submit false, misleading, or fraudulent information through our forms
• Attempt to gain unauthorized access to the website, servers, or data
• Introduce viruses, malicious code, or anything that disrupts the website
